Terms and Conditions
When the Terms and Conditions Apply These Terms and Conditions govern the relationship between the Client and Go Explore Africa and apply in the following instances:
When you book a trip directly with Go Explore Africa;
When you book a trip through our authorized partners or representatives;
When you confirm a booking either directly with us or through one of our sales affiliates, including travel agencies and marketplaces, you accept and agree to these Terms and Conditions.
These Terms outline your rights and responsibilities when booking and participating in our tours within Tanzania.
Treatment of Personal Information To arrange your expedition, we require certain personal details such as your full name, age, nationality, passport data, dietary preferences, and relevant medical details.
Some of this information may be shared with Tanzanian wildlife authorities for permit processing and with accommodation providers to ensure your comfort.
Booking and Payment Procedure Once you reach out via email or phone, a dedicated travel consultant will be assigned to handle all correspondence and organize the itinerary for your tour. Once the tour details are finalized, we will issue an invoice for a deposit, which confirms your booking upon payment.
A booking is only confirmed once the deposit reaches our account. The payment deadline is set based on the type of tour and will be communicated by your consultant.
The full payment is due at least 14 days prior to the tour’s start unless otherwise agreed in writing. All our tours must be fully prepaid.
Late or incomplete payments without prior arrangements may lead to cancellation, and deposits may be forfeited under our cancellation policy.
All transaction fees, including bank and credit card charges (3.5% for card payments), must be covered by the client. If payment is short for any reason, the outstanding amount will be collected upon arrival in Tanzania.
Participation of Minors Bookings can only be made by individuals aged 18 and over. For minors, bookings must be made by a parent, guardian, or legal representative, who accepts these Terms and assumes responsibility.
Minors must be accompanied and supervised by an adult client at all times. The adult is liable for the minor’s behavior and any resulting damages.
Bookings for minors require our approval. It is the adult’s duty to ensure all legal travel documents and permissions are in place. We bear no responsibility for entry denial or compliance failures concerning minors.
Third-Party Bookings (Tour Leaders, Agencies, etc.) If you book on behalf of others, you are considered the main contact and accept responsibility for:
Informing all participants of these Terms;
Ensuring timely payments;
Sharing all updates and changes with participants;
Providing accurate participant information.
If this responsibility cannot be fulfilled, each traveler must book directly with Go Explore Africa.
Pricing Confirmed tour prices are fixed, except in cases where Tanzanian authorities revise park fees, taxes, or similar charges. In such cases, you may:
Cancel the tour for a refund as per our policy;
Accept the increased cost and pay the difference.
Itinerary Adjustments By the Client: Changes not incurring extra costs are allowed. Any additional costs must be covered by the client.
If you leave the tour early, whether voluntarily or not, no refund will be provided. Missed services are non-refundable.
By Go Explore Africa: In rare instances (e.g., bad weather), we may adjust the itinerary. We will notify you promptly.
Due to Third Parties: We are not liable for delays or issues beyond our control (e.g., airline delays, strikes). Any resulting costs (accommodation, transport) are your responsibility or covered by your insurer.
Travel Date Changes You may change your travel dates up to 60 days before your original departure date. New dates must fall within 12 months of the original tour.
Note: Tanzanian domestic flights are not reschedulable. Lodging providers may charge penalties or price differences for new dates. These costs must be borne by the client.
Cancellations By the Client: Penalty fees apply as follows:
$100 per person deposit is non-refundable;
10% if canceled >90 days before start;
30% if canceled 60-89 days before start;
60% if canceled 30-59 days before start;
80% if canceled 8-29 days before start;
No refund if canceled within 7 days of start.
If third-party penalties exceed these, the refund amount will be adjusted accordingly. Bank fees will be deducted.
If a tour is postponed instead of canceled, Go Explore Africa will attempt to rebook at no additional charge, subject to the terms of lodges/airlines.
We recommend travel insurance to cover cancellation costs. We will provide supporting documents for insurance claims.
By Go Explore Africa: In the rare event we must cancel your tour, all payments made will be fully refunded.
Travel Documents & Entry to Tanzania Ensure your passport is valid for at least six months beyond your travel dates and has two blank pages. A visa is required for entry and can be applied for online.
Our visa advice is general. For the latest entry requirements, consult the Embassy of Tanzania. We do not guarantee the accuracy or completeness of the information on visas or vaccines.
You bear all costs related to visas and entry. If denied entry, no refunds or rescheduling will be possible, as most costs are prepaid.
Accommodation Hotels: Group tour pricing includes shared double/twin rooms. Solo travelers are paired with same-gender travelers unless a single room is requested (extra fee applies).
Private tour accommodations are arranged per agreement with your consultant.
If your preferred hotel is unavailable, an alternative will be proposed before confirmation.
Tents (Kilimanjaro Climbs): Shared tents (2 per tent) are standard. Solo travelers will be paired unless requesting a single tent (extra fee applies).
Single tents on Marangu Route and Mt. Meru are not allowed due to park rules.
Medical & Fitness You are responsible for ensuring you are fit for adventure travel. We may request a medical form signed by a licensed doctor for safety reasons.
We reserve the right to cancel your participation based on medical concerns, with cancellation fees applied as per policy.
False, incomplete, or omitted medical information may result in denied participation without refund. Special diets must be communicated at least 30 days prior to arrival.
Travel Insurance Insurance is mandatory. You must carry coverage for medical emergencies, evacuation, cancellation, and curtailment. Kilimanjaro trekkers must have coverage for high-altitude trekking and helicopter evacuation.
Failure to provide proof of insurance may result in disqualification from the tour without a refund.
Vaccinations We offer general vaccination guidance, but you must consult a doctor for personal medical advice.
Guide Authority Our guides’ decisions are final. On Kilimanjaro, if a guide deems a participant unfit, the client must descend, accompanied by staff.
Adventure Risks You understand the risks of traveling in remote and wild areas and accept full responsibility. You release Go Explore Africa from liability for any injuries, damages, or loss arising from these inherent risks.
Client Liability You will be charged for intentional damage to any of our property. Compensation must be settled before departure from Tanzania.
Third-Party Providers Hotels and airlines operate under their own terms. We are not responsible for services or issues related to these third parties.
Travel Expenses You are responsible for incidental costs like meals not included, souvenirs, tips, and personal purchases.
Equipment for Kilimanjaro Group gear is included. Personal gear must be brought or rented (available for a fee). Gear checks may be performed before climbs.
Luggage & Valuables We are not responsible for lost, delayed, or damaged luggage by airlines. If your climbing gear is lost en route, we will provide equivalent gear from our rental stock at no cost.
Delivery of delayed luggage is subject to a delivery fee. You are responsible for securing your valuables at all times.
